What is the cost to do a reunion?
• Our fees are included in the price of your ticket, so there
are no up front costs to the committee or deposit requirements.
What determines the ticket price?
•
The price of the tickets is determined by class-size, reunion location
and menu selection. The ticket price also includes postage, classmates
search, entertainment, decorations, photo name badges and staffing.
How will individuals pay for their tickets?
• We accept MasterCard, Visa, American Express and Discover. There
is a $3.00 service charge for using credit cards or a check or money
order can be mailed.
Will you mail the ticket to the guests?
• No, for the convenience of all those that are attending the
reunion, we will hold all tickets at the door. They will not have to
worry about losing or misplacing them and it helps to keep costs down.
Is
there a deadline to purchase tickets?
• Yes, there will be several deadline dates to offer early discount
specials and the final deadline date will be two weeks prior to the
reunion date. We will accept phone reservations by credit card only
up to one week before the reunion.
How will I know that you received my payment?
• You will receive a confirmation receipt to confirm your payment
in one of the three (3) mailings. If your payment is received after
the registration deadline, your confirmation receipt will be held at
the door with your ticket.
Can we purchase tickets at the door?
• No, tickets must be purchased in advance to confirm seating
arrangements, food service, photo name badges, memory books and many
others items involved in planning your reunion. However, we are limited
to small number of seats available to sell at the door, on a cash only
basis. No checks or credit cards are accepted at the door on the night
of the reunion.
What will each classmate receive at the reunion?
• A photo name badge will be provided for each registered classmate.
• Program book and giveaways, provided by the committee.
• Information that the committee want to provide for the evening.
• Option to stay at the hotel at a discounted rate and travel
arrangements if needed
What will your staff do at the reunion?
• The committee members will be free to enjoy the evening. Our
professional staff will arrive early to oversee set-up, greet your guests,
handle registration and to make sure everything runs smoothly for the
evening.
ALUMNI SEARCH:
Who will contact the Alumni?
• In order to contact alumni, .the committee needs to provide
us with a yearbook and any additional information they believe could
be helpful.
Will we receive a copy of the alumni list?
• Yes, when all the data is collected, we will provide you with
the detail alumni database. As each classmate registers for the reunion,
we will have him or her complete a registration form via email or regular
mail.
BANQUET
FACILITES:
Who determines the hotel and menu selections?
• Because of our ongoing relationships with hotels and other facilities,
we are able to offer you the same savings we receive, so we would suggest
a site location for reunion
• Because various people attend the reunion, we always request
a Buffet Dinner as the meal selection and the cash bar to be available.
REUNION
COMMITTEE:
What is the responsibility of the committee?
• The Reunion Committee is planning your reunion. A Reunion by
VEP Associates’ role is a consultant offering advice gained from
experience in reunion planning. Your committee will make the decision
regarding the date and location of your reunion events.
• The committee will help plan the ceremony for the evening by
providing a list of speakers and other ideas.
• A few months prior to the reunion, we will ask the committee
to make phone contact with all classmates in the database. Personal
contact with people will help them to make a decision on attending the
reunion.
• The committee will decide and provide any gifts they wish to
have at the reunion.
PRINTING AND POSTAGE:
What postage and printing costs will you
cover?
• We will cover your postage for up to three mailings, consisting
of the reunion announcements, follow up reminders and confirmation receipts.
PROMOTION / PUBLICITY:
Who does the promotions and advertising?
• We will contact your high school, local newspapers and other
alumni web sites to inform your classmates about the reunion plans.
DECORATIONS:
What decorations will you use?
• We will make sure that the banquet facility is decorated with
your school colors, by using balloons, centerpieces and tablecloths
with colored linen. If you have your school banner, we will use that
as well.
ENTERTAINMENT:
Will you provide the entertainment?
• Yes, we will provide you with a local disc jockey that will
play songs from your high school time and a network of other entertainment
professionals at an additional cost.
PHOTOGRAPHY:
Will there be someone there to take pictures?
• Yes, we will provide a professional photographer to take alumni
photos upon arrival and individual photos, made available to each alumnus
at an additional charge.
TRAVEL ARRANGEMENTS:
How can we reserve a hotel room?
• For those alumni traveling or anyone wishing to stay at the
hotel, we will provide hotel accommodations at a discounted room rate
for the weekend of your event. This rate will be available the Thursday/Friday
of the reunion and extended to the day after the reunion. Your guests
will call the hotel directly to make reservations by mentioning the
name of the class reunion.
• We can also assist in travel arrangements by offering discount
airfare and car rental where available. All travel information will
be provided on with registration information and to those interested.
FAQs
.Will you keep us updated on the progress
of the reunion?
• Yes, you we will provide the committee per your request with
a progress report.
What’s the dress attire for the reunion?
• Since this is a special evening we suggest your guests wear
“after five” evening attire, men suit with tie or semi formal.
Are there any ideas on raising extra money
for the reunion?
• Yes, your committee can offer a Souvenir Journal to earn extra
money for your reunion. This journal will consist of your committee
selling ads to the classmate’s family or friends. The committee
can also sell Tee Shirts. For more details on this, please give us a
call
Is there a refund policy?
• Yes, a $20.00 processing fee per person will be assessed for
all ticket cancellations.
• Full refunds (less the processing fee) will be granted for all
cancellations made no more ten (10) business days prior to the reunion,
and will be processed within ten to fourteen (10-14) business days after
the reunion.
• No refunds will be granted for cancellations made within ten
(10) business days of the reunion, or for not attending the reunion.
The processing fee does not entitle you to reunion giveaways.
• No refunds will be granted for photo orders, tee shirt orders,
extra alumni directories, or alumni advertising.
• To request a refund, please send facsimile to (215) 224-1501,
or e-mail to vepassoiciates@aol.com requesting refund. Please include
the classmates’ name, school and class year in the request.
What happens if the reunion is canceled?
• If the committee cancels the reunion at any time 100% of all
monies paid by “A Reunion by VEP Associates” is the full
responsibility of the Reunion Chairperson and committee and must be
paid in full at the time of cancellation.
• “A Reunion by VEP Associates” will maintain the
right to cancel the reunion event (3) months prior to the reunion for
lack of response or participation by classmates. At which time any money
paid by “A Reunion by VEP Associates” will be due and payable
